1 Your booking
AI Strategy & Practice is organised by Safe Intelligence Ltd, One Lyric Square, Hammersmith, London, W6 ONB ("we", "us" or "the organiser").
The conference takes place on 21 October 2026 at Ham Yard, Picadilly Circus, London
These terms apply to conference bookings and attendance. "You" means the person or organisation making the booking. Each person attending must also follow the event's Code of Conduct.
For booking changes, cancellations, substitutions, complaints or practical help, contact Jovanca Garnadi at jovanca@safeintelligence.ai.
2 Booking confirmation prices and inclusions
Your booking is confirmed when we issue a booking confirmation. Please check the attendee details and contact us promptly about any errors.
The booking information will state the ticket price, any applicable taxes and mandatory charges, what is included, and the payment arrangements before you book.
Travel, accommodation and other personal arrangements are included only if the booking information expressly says so.
If you book for another person, please provide accurate details, ensure you have authority to arrange the booking, and give that attendee these terms, the Code of Conduct, the Event Privacy Notice and the Photography and Publicity Notice.
3 Attendee cancellations and refunds
You may cancel your booking, including on the conference day, by emailing jovanca@safeintelligence.ai. Include the attendee's name and booking reference, if available, and clearly state that you wish to cancel.
Our attendee-cancellation policy is:
When we receive your cancellation email
Refund: Before 00:00 on 19 October 2026, UK time — including all of 19 October Full refund of the amount paid for the cancelled ticket, including any mandatory booking charge paid with that booking.
On 20, 21 October 2026, or after the event UK time No refund under this attendee-cancellation policy.
The time we receive your email determines which rule applies. You do not have to receive our acknowledgement before the deadline, and the date on which staff process your request does not affect your entitlement.
We will confirm the cancellation and any refund by email. Refund processing arrangements are: contact us by email. We will not deduct an administration or cancellation fee from a full refund.
These rules concern cancellations initiated by attendees. Section 5 applies if we cancel or materially change the conference. Neither section restricts any additional cancellation or refund rights you have under applicable law.
4 Substitutions and other booking changes
You may substitute another attendee for the person originally booked.
Email jovanca@safeintelligence.ai with the original attendee's name, booking reference if available, and the replacement attendee's name and email address. We will update the registration and confirm the change.
The cancellation refund deadline does not impose a separate substitution deadline. Please notify us as soon as practical so that registration information can be updated.
The replacement attendee must receive these terms and the event notices and follow the Code of Conduct. Please also email Jovanca about corrections or other changes to a booking.
5 Changes or cancellation by the organiser
We will take reasonable care to deliver the event described when you booked. Some changes to speakers, session order or timings may be necessary. We will communicate significant changes as promptly as practical.
If we cancel the conference, we will provide a full refund of the amount paid for your ticket, including any mandatory booking charge paid with that booking.
If we postpone the event, move it to a substantially different location, change it from an in-person event to an online event, or otherwise materially change the event you booked, you may accept the change or cancel for a full refund. We will explain the change and how to exercise that choice. You will not be required to accept a credit or replacement event.
The attendee-cancellation deadline in section 3 does not remove these rights, including where a material change is announced on 20 October.
These arrangements also apply where cancellation or material change results from circumstances outside our reasonable control. Any additional rights or remedies available under applicable law remain unaffected.
6 A professional and welcoming event
All attendees must follow the Code of Conduct, which applies throughout the conference, the drinks reception and official event communication channels.
Please treat others with courtesy, respect personal boundaries, contribute constructively and follow reasonable instructions from chairs, organisers and venue staff. Harassment, discrimination, intimidation, threats, unwanted contact, persistent unwanted approaches and retaliation have no place at the event.
We may take proportionate action under the Code, including asking someone to stop particular behaviour or leave where warranted. Immediate protective action may be necessary if someone's safety is at risk.
Any question about a refund following removal will be considered fairly in light of the circumstances, these terms and applicable law. Removal does not automatically extinguish legal rights.
7 Access and practical requirements
Please contact Jovanca about access requirements or other support that would help you participate. Early notice helps us make arrangements, and you may also ask for help on the day.
Provide only the information needed to explain your requirements. Our Event Privacy Notice explains how we handle this information.
Follow the venue's safety and emergency instructions and take reasonable care of your belongings and those of others. Report any concern to the event team.
8 Presentations and other materials
Speakers and other rights holders retain ownership of their presentations and materials. Attendance does not give you ownership of, or a general licence to reproduce or distribute, those materials. Any permitted sharing will be explained when material is provided. Rights you have under applicable law are unaffected.
Sessions are not subject to a special event confidentiality or non-attribution rule. Existing legal, professional and contractual duties still apply. Please do not disclose information you are not authorised to share.
9 Privacy photography and publicity
Our Event Privacy Notice explains how we handle personal information. Our Photography and Publicity Notice explains still photography, photography preferences, personal recordings and later publicity.
We will arrange still photography. We will not make official audio or video recordings or livestream the event. Audience personal recording is neither encouraged nor subject to a general event ban; the Photography and Publicity Notice explains the relevant expectations.
We will seek specific approval before publishing selected attributed quotations in a post-event blog.
Agreeing to these booking terms is not consent to all uses of photographs, quotations or personal information.
10 Our responsibilities and your rights
We will provide the event with reasonable care and skill.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other responsibility that cannot lawfully be excluded or limited.
Nothing in these terms removes rights or remedies that applicable law gives you. This includes any statutory rights concerning cancellation, service quality or refunds. We do not require you to waive those rights as a condition of attending.
11 Complaints applicable law and versions
Please send booking or service complaints to Jovanca Garnadi at jovanca@safeintelligence.ai, with the information needed to understand the concern and the outcome you are seeking. Conduct reports can be made using the routes in the Code of Conduct.
These terms are governed by the law of England and Wales. This does not deprive a consumer of mandatory protections or the right to use courts available to them under applicable law.
The terms provided when your booking was confirmed apply to that booking. Later updates do not automatically replace existing contractual terms or reduce your rights.
