Photography and Publicity Notice

AI Strategy & Practice
Safe Intelligence Ltd, One Lyric Square, Hammersmith, London, W6 0NB
Contact Jovanca Garnadi at jovanca@safeintelligence.ai

Safe Intelligence Ltd will arrange still photography at AI Strategy & Practice. This notice explains the official photography arrangements, subsequent publicity and how we will seek permission for attributed quotations.
It applies to attendees and speakers. Please also read the Event Privacy Notice, which identifies the controller, suppliers, retention arrangements and your data protection rights.

1 Official photography at the event

Photographs may show speakers, sessions, attendees and the atmosphere of the event, including networking and the reception. An image may include someone in the background as well as its main subject.
Safe Intelligence will not make official audio or video recordings or livestream the conference.
For taking and using ordinary event photographs within the scope below, we rely on our legitimate interests in documenting and promoting the event. We must balance those interests against the rights and expectations of the people pictured.

Attendance is not treated as blanket consent to every possible use of your image.

2 How photographs may be used

Selected photographs may be published after the event through the event website, x.com, LinkedIn and other professional social media channels.

The permitted publicity and marketing scope is for future events in the series.
Photographs may remain published for you to 5 years.
The arrangements for any later reuse are archival.
We will use photographs fairly and in context. We will not present your appearance at the event as a personal or employer endorsement of a product or service.
If we propose a materially different use, we will first assess the appropriate lawful basis, explain the proposed use and obtain separate permission where required. This notice does not provide unrestricted permission for unrelated uses.

3 If you prefer not to be photographed

Please email Jovanca Garnadi at jovanca@safeintelligence.ai before the event, or speak to Jovanca or another organiser on the day.

On-the-day contact: Front Desk
Photography preference arrangements: please contact the front desk or Jovanca with any photography preferences.

We will communicate your preference to the photographer and relevant organisers. You do not have to give a reason or withdraw from the conference to request that we avoid photographing you.
We will respect requests not to be deliberately photographed and check selected images against preferences brought to our attention. If you are invited to join a posed or group photograph, you can decline.
If you appear incidentally in an image despite having told us your preference, please let us know. We will address this by selecting a different image, cropping or obscuring your image, or otherwise preventing the identified use as appropriate.

4 Quotations in post-event coverage

In the weeks following the event, we may contact you about using a quotation in a blog article.
Before publishing an attributed quotation, we will ask you to approve:

•    The proposed wording, including any editing.
•    The name, role and organisation to be used in the attribution.
•    The intended article and publication channels.
•    The publication period and any proposed later reuse.

Your approval is optional. We will not treat silence as agreement. If the proposed wording, attribution or use changes materially, we will seek approval of that change before publication.

Please tell us if your employer or another organisation must approve an attributed statement. Your approval will not be presented as wider organisational endorsement.

An open conference session does not remove our commitment to obtain this approval before publishing an attributed quotation in our post-event blog coverage.

5 Retention objections and withdrawal

Working photographs, selected images, quotation notes and approval records are kept according to 24 months as explained in the Event Privacy Notice. Publication duration and later reuse are governed separately by the limits above.

If you have a concern about a photograph, email Jovanca with a link, copy or description that helps us identify it. Tell us what you would like us to do. We will consider the request promptly and explain the action taken, including removal, replacement or editing where appropriate.

You may object to legitimate-interests processing. Where personal information is used for direct marketing, the right to object is absolute. The Event Privacy Notice explains these rights.

You can withdraw consent to an approved quotation by contacting Jovanca. We will stop further use based on that consent and address removal from material we control. Withdrawal does not affect the lawfulness of earlier use.
Material already distributed or copied by others may require additional steps. Where the law requires us to notify recipients or take reasonable steps concerning copies, we will do so. These practical limits do not remove your data protection rights.

6 Attendee-created material

We neither prohibit nor encourage audience personal recording. Attendee-created photographs or recordings fall outside our official photography arrangements.

Anyone creating or sharing such material remains responsible for applicable privacy, confidentiality and intellectual property obligations and for following the Code of Conduct. This notice does not grant a licence to use another person's presentation, words, image or voice.

If you have a concern about being included in someone else's material, speak to an organiser so we can help address the situation.
